# AOSWARE CRM — Role-wise login details

There are **two websites**. Staff and customers never share a login or a menu.

All demo users (staff and customers) use the same password: **`Welcome1!`**

These logins are for the demo data only. Change them before any real company uses the system.

**What you will see after login**

Home / My Day, Leads, Accounts, Contacts, Opportunities, Tasks, Calendar, Email, Quotes, Orders, Contracts, Invoices, Renewals, Settings.

**What you can try**

- Add a lead with Add New (only a few boxes)
- Open an account and add a note on the timeline
- Move a deal on the Opportunities board (drag a card)
- Check off a task on Home
- Create a quote from a customer or from a won deal (under **More**)
- Send a quote only after a manager approves it
- Ask the customer to sign (they finish it on the Customer Portal)

**What you will not see**

Reports, Lead assignment, Approvals, Users, Roles (those are for manager or admin). The Customer Portal is a different website.

John belongs to **one company** (AOSWARE Demo). After sign-in, Home opens.

**What you will see after login**

Everything a salesperson sees, plus:

- Team Home (pipeline, late work, team tasks)
- Reports (pipeline by stage and by person, simple forecast)
- Lead assignment (give new leads to a person, by area, or next in line)
- Approvals (yes or no before a quote goes to the customer)

**What you can try**

- Look at Pipeline Overview on Home
- Open Reports without asking someone else for a list
- Assign the unassigned lead on Lead assignment
- Approve the waiting quote on Approvals (then Jane can send it)
- Still create leads and move deals like a salesperson

## Admin — Alex Admin

**What you will see after login**

Dashboard (counts), Users, Roles, Setup, Settings (industry, email tools, other systems, Customer Portal).

Admin does **not** get the daily sales menu unless you also give this person a salesperson or manager role.

**What you can try**

- Add a new user and tick one or more roles
- Deactivate a login
- Open Roles to read what each job can see
- Turn on Outlook or Gmail in Settings
- Connect the order / accounts / service system (flags only)
- Turn the **Customer Portal** on and pick which pages a customer may see
- Add or stop a customer login (they sign in on the other website)

**What you will not see**

Staff quotes and deals unless you also give a sales role. Customers never sign in here.

**What you can try**

- Open a customer account
- Add a visit note or a task
- Open a service job (including requests the customer typed on the Customer Portal)
- Add job notes and change job status
- See machines on Equipment

**What you will not see**

Leads, Opportunities, Quotes, Reports, Users. The Customer Portal is a different website — Sam sees the request in **Service jobs**, not by signing in as the customer.

## Extra salespeople — Priya Patel and Marcus Webb

Same password. Use these to check pipeline **by person**, West/Central accounts, and that a salesperson only sees **their own** lists.

## Marketing person — Maya Chen

Maya can sign in and use Campaigns, Lists, Templates, Unsubscribes, and Campaign reports. Lists can filter by **real orders** (ordered in the last 90 days / no order in 90 days).

Owen Blake is **inactive** so you can test Activate on the Users page. He cannot sign in until an admin turns him back on.

Home, Invoices, Documents, Sign, My orders. He sees **only** ABC Office — never Tech Solutions or CopierCare, and never staff deals or internal notes.

- Open Invoices (furniture bill)
- Open My orders
- Confirm you cannot see another customer’s invoices

## How login works

**Staff**

1. Open the Staff Portal sign-in page.  
2. Enter a staff email and password.  
3. Home opens for that person’s **one company**.  
4. The menu then shows **only the sections for that person’s role**.

Each employee belongs to **one company only**. There is no company picker.

**Customers**

1. Open the **Customer Portal** sign-in page (a different website).  
2. Enter a customer email and password.  
3. Home opens for **that customer’s company only**.  
4. Pages match what the admin turned on (invoices, documents, sign, orders, contract, service request, equipment).

A staff email will not open the Customer Portal. A customer email will not open the Staff Portal.
